Coffee in a beauty salon: how to choose beans, count the cost per cup and turn coffee into a gift

Coffee in the waiting area is part of the service a client remembers. We show how to choose coffee for your machine, work out the cost of a cup from real prices, store beans, serve coffee with style and turn it into a Christmas gift and coffee with your salon logo.

The coffee a client remembers: why service starts in the waiting area

A client walks into your salon and within the first few minutes judges everything at once: the smell, the light, the cleanliness, whether someone was expecting her. The treatment has not started yet, and the impression is already formed. In that short time a cup of good coffee does more than one more leaflet. It is a gesture of hospitality that needs no words.

Bad coffee works the other way. Burnt, sour from old beans or served in a plastic cup from a vending machine, it can spoil an impression the salon has built for months with reviews, a local listing and prices matched to quality. That is why coffee deserves the same thinking as the cosmetics in your treatment room: a chosen supplier, clear rules and a cost counted to the cup.

Manufaktura Kraftowa - a family roastery since 1989

Manufaktura Kraftowa - freshly roasted coffee from a family roastery

A family roastery operating since 1989. The coffee is roasted only after you order, in small batches, and packed by hand. Whole beans and ground, 500 g to 1000 g, InPost delivery, free from PLN 200.

See the coffees on kraftowa.com

In this article we show what such coffee looks like in a salon's daily routine. Manufaktura Kraftowa is a concrete example of a supplier of freshly roasted whole-bean coffee with open prices on product pages, which makes it possible to count everything. The shop and the coffee cards are in Polish.

Whole beans instead of capsules: four reasons

Capsules are convenient, but in a salon where coffee is part of the brand, beans win in four areas.

  • Choice of flavour. From capsules you get what the manufacturer put into the system. From beans you choose the origin: fruity Kenya, chocolatey India, sweet Mexico or a strong robusta.
  • Cost per cup. A 500 g or 1000 g pack gives dozens of cups. We count it on real prices below.
  • Less single-use packaging. One paper bag instead of hundreds of small capsules in the bin.
  • Smell and ritual. Grinding beans just before brewing smells the way clients expect a salon to smell.
A cup tipped over in coffee beans

That does not make capsules bad. If your salon has one person and brews a few coffees a week, convenience may matter more. When coffee is served daily and you want to serve it in a style that stays in memory, beans are the better starting point.

Freshness and roast date: what really decides the taste

Coffee changes week by week after roasting. It tastes best fresh and loses aroma over time. So when choosing a supplier, the question matters more than a pretty package: when was this coffee roasted?

Manufaktura Kraftowa roasts the coffee only after you order, in small batches, and packs it by hand. For a salon that means something simple: fresh coffee goes into the pack, not coffee that sat in a warehouse for months.

The path of coffee to the cup in a salon: order, roasting, packing, delivery, cup
The path of coffee to the cup in a salon: order, roasting, packing, delivery, cup

A practical rule: buy coffee in an amount that runs out within a few weeks. A salon that brews dozens of cups a week usually does best with 500 g or 1000 g packs ordered regularly.

Which coffee to choose for your machine and your clients

Below are eight coffees from the Manufaktura Kraftowa range, arranged for a salon. Flavours and uses are taken from the product pages.

  • Kenya AA Top Exclusive - orange, blackcurrant, blueberry, chocolate, juicy acidity. For clients who like a bold, fruity cup. Also good with milk. Product page.
  • India Plantation AA - chocolate, toffee, peanuts, low acidity, full body. A good base for milk drinks: mocha, caffè au lait and macchiato. Product page.
  • Robusta Vietnam Grade 1 - roasted nuts and a hint of spice, the strongest coffee in the range. Product page.
  • Peru Tunki GR1 - organic arabica: orange, flowers, chocolate. For a salon that bets on natural flavours. Product page.
  • Honduras El Bosque - a speciality coffee scored 88 points by Q-graders: plum, raisins, forest-fruit jam. Lovely as a drip, Chemex or French press, and works as espresso and americano. Product page.
  • Colombia Supremo - nuts and chocolate, minimal acidity, clear sweetness. A safe choice for a pressure machine. Product page.
  • Mexico Maragogype - the so-called elephant bean: honey, vanilla, nuts, chocolate, very low acidity. Mild and sweet, in a pour-over or a pressure machine. Product page.
  • Brazil and India 80/20 - a blend of 80% arabica and 20% robusta, roasted a little darker: honey, chocolate, fruit, low acidity. For americano, ristretto, caffè au lait. Product page.

If you do not know where to start, pick one mild and one bold coffee, for example Colombia Supremo for every day and Kenya or Honduras as a "special" option. After a month you will see which one your clients pick more often. The full range is in the Kraftowa shop.

The machine in your salon: matching coffee to equipment

  1. 1.What machine you have. Filter, portafilter, bean-to-cup or a machine that takes ground coffee. A bean-to-cup machine needs beans; for a pour-over you can use ground.
  2. 2.What the grinder is like. In a salon where coffee is made on the spot, the grinder matters more than the machine brand.
  3. 3.What your clients like. Most guests prefer a mild, sweet coffee with low acidity. Bold fruity coffees are great, but offer them as a second option.
  4. 4.How many people you serve. A few cups a day: a 500 g pack is enough. A dozen or more: count on about a kilogram a month.

If in doubt, call the roastery: +48 42 233 81 33, Monday to Friday, 9-17.

What a cup really costs: counted from real prices

This is the most often skipped step. A salon buys coffee by eye and does not know what one cup costs. The calculation is simple: the price of the pack divided by the number of cups in the pack.

How many cups one pack of coffee gives: a worked example at an 8 g dose
How many cups one pack of coffee gives: a worked example at an 8 g dose

Worked example. We assume 8 g of coffee per cup. It is an illustration only: your dose depends on your machine and recipe, so use your own number. A 500 g pack gives about 62 cups, a 1000 g pack about 125. The prices below are the current prices from the product pages on the day of publication.

Cost of one cup at an 8 g dose, 1000 g pack: - Kenya AA Top Exclusive: PLN 44,99 per kilogram, about PLN 0,36 per cup. - Mexico Maragogype: PLN 53,99 per kilogram, about PLN 0,43 per cup. - Robusta Vietnam Grade 1: PLN 62,99 per kilogram, about PLN 0,50 per cup. - Colombia Supremo: PLN 62,99 per kilogram, about PLN 0,50 per cup. - Brazil and India 80/20: PLN 61,99 per kilogram, about PLN 0,50 per cup. - India Plantation AA: PLN 59,99 per kilogram, about PLN 0,48 per cup. - Peru Tunki GR1: PLN 74,99 per kilogram, about PLN 0,60 per cup. - Honduras El Bosque: PLN 82,99 per kilogram, about PLN 0,66 per cup.

For comparison, work out your own cost today: take what you pay for capsules or vending-machine coffee and divide by the number of cups. You will see the difference at once. Next to a visit worth several hundred zloty, a few dozen groszy per cup is a cost the client notices only as a pleasant gesture.

An example for the whole salon

Again an illustration, not a promise of results. Suppose a salon serves 15 coffees a day on 22 working days a month. That is 330 cups, and at an 8 g dose about 2.6 kg of coffee a month, three 1 kg packs. With Colombia Supremo that is PLN 188,97, with Kenya PLN 134,97. Count it for your own numbers.

Storing coffee in the salon: five simple rules

  1. 1.An airtight container. After opening, pour the coffee into an airtight container or close the original bag tightly.
  2. 2.Away from light and heat. A cupboard, not a windowsill. Not above the machine or next to a radiator.
  3. 3.No moisture. A dry, clean place. Never scoop with a wet spoon.
  4. 4.Grind just before brewing. Beans ground on demand smell and taste better than coffee ground the day before.
  5. 5.Order for a few weeks. A small pack replaced regularly beats a kilogram stock for half a year.

It helps when one person on the team owns the coffee: checks stock, refills the container, cleans the grinder and orders the next pack before the last one runs out.

How to serve coffee to a client: ritual, not routine

  • Ask what she likes. "Coffee with milk or black?" takes three seconds and shows the salon thinks about her, not the procedure.
  • Offer a choice. Water and tea next to the coffee. Not every guest drinks coffee.
  • A good cup. Porcelain or thick ceramic instead of a paper cup. A small cost that makes a big impression.
  • Agree the moments. Decide as a team when coffee is served: at the welcome, in the waiting area, when discussing the visit or at the wrap-up.
  • A drinks card. A few sentences on a small card: which coffees are in the salon today, where they come from, how they differ.
A waiting area with a jug and cups: coffee as part of hospitality in a salon

A loyalty programme works the same way: small gestures repeated consistently build loyalty more strongly than a one-off promotion.

Christmas gifts for clients and staff

Christmas is the moment when coffee works as a gift: it needs no knowledge of taste, takes no shelf space and stays in memory as long as its smell. For a salon it is two ideas in one: a thank-you for clients and a small present for the team.

  • For regular clients. A pack of coffee with a short handwritten thank-you attached to the last visit before Christmas. See also gift vouchers in a salon.
  • For the team. Coffee matched to taste: sweet Colombia for one person, bold Kenya for another.
  • For clients who love coffee. Ready ideas in the guide a gift for a coffee lover.
  • For companies and larger teams. The guide on Christmas gifts for teams and clients helps match quantity and variety to the number of people.

Plan for the calendar too: pre-Christmas deliveries take time, so plan seasonality of your offer together with the coffee order.

Coffee with your salon logo: brand in the cup and in the gift

If the salon has its own identity, coffee with a logo turns an ordinary gift into a piece of the brand. The pack with the salon name goes to the client's home and stands in her kitchen where she sees it every day.

  • Manufaktura Kraftowa has a separate page for this: coffee with a logo. Check details and ordering there, as it is the most current source.
  • If the salon orders regularly, the business offer includes, among other things, deliveries in any quantity and free installation and servicing of a coffee machine. See coffee for business.
  • Coffee with a logo fits the salon identity we write about in online marketing for a salon.

A roastery operating since 1989

Manufaktura Kraftowa is a family roastery operating since 1989. It roasts in small batches, only after the order, and packs by hand. The range includes coffees from Kenya, India, Vietnam, Peru, Honduras, Colombia and Mexico, plus a Brazil and India blend. Read more on the Kraftowa home page.

Roasting beans: hands over freshly roasted beans

Origin is also a good conversation starter with a client. A few sentences saying that the Kenyan coffee comes from high-altitude plantations and is picked by hand, and the Peruvian one is organic, turn a cup into a story.

The most common coffee mistakes in a salon

  • Vending-machine coffee with no quality control. Old, stale granules show in the taste and the smell.
  • One flavour for everyone. Bold fruity coffees can be too sour for some guests. Keep a mild one in stock.
  • No storage rules. An open pack on the windowsill loses aroma faster than you think.
  • Buying in bulk. A kilogram for half a year is less fresh coffee. Order more often.
  • No counted cost. You do not know what a cup costs, so you do not know whether you can afford better coffee.
  • No one responsible. The coffee runs out at the worst moment because nobody ordered it.

One-week checklist for the salon

  1. 1.Count how many coffees you serve. For a week, note cups per day.
  2. 2.Choose two coffees. One mild, one bold. Check them in the shop.
  3. 3.Count the cost per cup with the formula from this article.
  4. 4.Order 500 g or 1000 g. An amount that will run out in a few weeks.
  5. 5.Agree serving rules. When, in what cup and with what options.
  6. 6.Name an owner. Stock, grinder cleaning, next order.
  7. 7.Plan gifts. Before Christmas: packs for clients and the team, perhaps coffee with a logo.
  8. 8.Take care of the whole client journey. Coffee is one element. Complete it with a listing in the Estelvio Atlas, a phone that always gets answered and good reviews.

Najczęstsze pytania

Is it better to serve whole-bean coffee or capsules in a beauty salon?
If coffee is served daily and is meant to be part of the salon's brand, beans give more flavours, a lower cost per cup and the smell of fresh grinding. Capsules can be more convenient for a few coffees a week and one person on the team. Count the cost per cup for your own salon first.
How do I calculate the cost of one cup of coffee?
Divide the price of the pack by the number of cups in the pack. At an example dose of 8 g, a 500 g pack gives about 62 cups and a 1000 g pack about 125. This is an illustration, so use your own dose. Take prices from the product pages on the day of purchase.
How long does whole-bean coffee stay fresh?
Coffee tastes best fresh and loses aroma over time. Buy an amount that runs out in a few weeks, store it in an airtight container away from light, heat and moisture, and grind just before brewing. Manufaktura Kraftowa roasts only after you order, in small batches.
Which coffee should I choose if my clients like a mild taste?
Mild and sweet options include Colombia Supremo (nuts, chocolate, minimal acidity), Mexico Maragogype (honey, vanilla, very low acidity) and India Plantation AA (chocolate, toffee, low acidity). Kenya AA and Honduras El Bosque are bolder and fruitier. It is good to offer one mild and one bold coffee.
Can I order coffee with my salon logo?
Manufaktura Kraftowa has a separate page for coffee with a logo that describes the rules and how to order. Check it for the most current information, or call +48 42 233 81 33 (Mon-Fri 9-17) or write to kontakt@kraftowa.com.
How do delivery and payment work?
Delivery is by InPost to a parcel locker or by courier and is free from PLN 200. You can pay with BLIK, instant bank transfer, card, Google Pay and Apple Pay. The coffee is roasted after the order and packed by hand, so shipping starts after roasting.
